Administrative Assistant, Office of the President – Cambridge, MA

The Center for Effective Philanthropy (CEP) seeks an exceptionally organized, detail-oriented, and enthusiastic Administrative Assistant to help support the President, Vice President – Research, and Vice President – Assessment and Advisory Services. Reporting directly to the President’s Special Assistant and working closely with staff across the organization, this full-time role will provide vital administrative support including calendaring, meeting preparation, and other initiatives in need of administrative support.

Key Responsibilities

Supporting the President, Vice President – Research, and Vice President – Assessment and Advisory Services through:

  • Scheduling meetings and appointments and balancing complex calendars
  • Supporting executives with travel arrangements
  • Coordinating meetings and speaking engagements with a wide range of external audiences
  • Assisting with meeting preparation (e.g. arranging meeting spaces, logistics, printing materials, and preparing and providing briefing materials)
  • Preparing expense reports
  • Taking notes during meetings and preparing minutes, memos, and agendas
  • Helping to maintain CEP’s mailing lists and contact database. Conducting internet research to update information and performing quality control of databases including research sample development
  • Working independently and as part of team on special and ongoing projects

Working closely with the Special Assistant to the President on various tasks related to the President’s office, including but not limited to:

  • Assisting in scheduling and organizing four board meetings per year, Board Committee Meetings and calls, New Board Member Orientation Meetings, and Advisory Board annual meetings
  • Working on additional tasks and special projects as needed and assigned by the President and the Special Assistant to the President
  • Organizing President’s Office events involving both internal and external audiences

 

Qualifications and Requirements

  • 3 to 5+ years of full-time work experience required; at least three years of full-time, directly relevant administrative experience is strongly preferred.
  • Strong computer/technical skills; demonstrated proficiency in Microsoft Word, Excel, PowerPoint, and Outlook; familiarity with Salesforce, and Asana a big plus.
  • Outstanding writing and communication skills with a keen attention to detail.

Location

This role will be based in our Cambridge, Massachusetts office in the heart of Central Square.

Given the role’s requirements, the Administrative Assistant is currently expected to be on-site a minimum of two days each week to effectively support the President and Vice Presidents.
